Checkbook

Keep a balance per member and deduct from it.

The checkbook is a balance you keep per member. Handy if members pay in advance and you deduct separate amounts from it, for example for consumptions or one-off attendances.

Where you find it

The checkbook has no menu item of its own. You manage it on a member's profile, at Members. At the bottom is the Checkbook card with the Balance — green if it is positive, red if the member is in the red — and the transactions below. Each transaction is an order, so you can click through with View order.

First turn on the Checkbook module at Settings → Modules.

You only see the Deduct and Add buttons if you may create orders. See Staff and permissions.

Top up

  1. Choose Add on the Checkbook card.
  2. Fill in the amount at Add credit to balance for ....
  3. Choose the Payment method. If you settle on the spot, you can check Mark this order as paid. Leave that empty if the member still has to pay; you can still mark it paid later.
  4. Choose Next step, check the overview, and choose Confirm.

Deduct

You deduct with products, not with a separate amount.

  1. Choose Deduct on the Checkbook card.
  2. Search the products the member takes on the left and click them. On the right the list grows with quantities and the Total.
  3. Choose Next step, check, and confirm.

The member then sees exactly what the amount was for, because the products are on the order.

Deducting therefore only works if you have created products. See Products. If you have separate consumptions such as coffee or a beer, create those once as a product; after that you can keep clicking them.

What members can do themselves

Members do not top up their checkbook themselves in the app and also do not pay with it themselves when they sign up. You make all the mutations. Members do see the orders that were paid with the checkbook.

Want participants to buy credit themselves in advance and use that when they sign up? Then use tokencards and tokens.
