Tickets and capacity
Every dotoo has at least one ticket. The ticket sets what participation costs, who can sign up, and how many spots there are. In the app this is called Ticket types.
Add a ticket
You manage tickets in the form of a dotoo or template, under Ticket types. Add ticket type opens a window where you set the ticket; you finish that with Continue. You can create multiple tickets, for example one for members and one for drop-in attendees.
Capacity
Fill in Available quantity for how many spots there are. If you leave it empty, the number is unlimited.
Once the spots are full, attendees can join the waiting list. When a spot frees up, everyone on the waiting list gets an email. Whoever responds first gets the spot; DoToo does not sign anyone up automatically.
What participation costs
Which fields you see depends on your modules. You can combine them:
Price and VAT rate under Payment options — an amount in euros. Only with the Stripe module.
Token count — the number of tokens participation costs. Only with the Tokencards module. If you fill in a number, Token category appears below it, and you then have to choose one.
Memberships — if you link one or more memberships to the ticket, members with that membership can sign up without paying separately. Only with the Memberships module.
If you fill in nothing, the ticket is free.
Why don't I see all my memberships?
At Memberships you can only choose memberships whose Participation limit type is Unlimited. Memberships with a weekly limit, for example once or twice a week, are left out on purpose.
Such a membership does not give direct access; instead it pays out tokens every week in the membership's Token category. Members use those tokens to sign up. To let these members take part in a dotoo, fill in Token count on the ticket and choose the same Token category as on the membership.
Want to admit both unlimited and limited members? Combine both on the same ticket: the unlimited membership at Memberships, and tokens for the limited memberships. See Tokencards and tokens.
Who can sign up
At Registration requirement you choose:
- Anyone — anyone can sign up
- Members — only members of your business
Transaction deadline
If attendees pay with tokens or a membership, the charge does not happen right away. With the Transaction deadline you set how many hours before the start that happens. Until then, attendees can cancel at no cost.
The default is at Settings → Orders & Tokens; you can override it per dotoo. See Unpaid orders.
Tickets on a template
If a dotoo follows a template, the tickets come from that template. You then edit them on the template, not on the individual dotoo. If you want it different for one dotoo, detach it. See Templates.
A maximum across multiple dotoos
Want someone to sign up for only a limited number of activities in a series, for example one training per week out of four possible times? That is possible, but not from the app. Ask DoToo support to set such a limit for a set of dotoos.
Anyone who then goes over the maximum sees a message at signup that they already take part in the other dotoos in that series, with links included.
