Groups and schedule planning
With groups you set up a fixed participant group with a recurring schedule, for example a weekly training or a course group. DoToo schedules the activities ahead automatically and signs the group members up in advance.
What you need
There are two switches, and you need both:
- The Groups module at Settings → Modules
- Enable group planning at Settings → Dotoos & Calendar
On that second one you also set Number of upcoming dotoos to keep per group: how many activities stay ready ahead of time, ten at most.
Create a group
Choose Groups in the menu and then Create group. The form is short:
- Weekday, Start time, and End time — if you fill in a start time, DoToo sets the end time one hour later automatically
- Template — the activities are based on this. See Templates
- Guides — optional; these take priority over the template's guides
- Activate auto-scheduling — let DoToo set the activities up ahead
If you turn the planning on, you immediately see what will happen: every chosen weekday a new dotoo is added from the template, and DoToo makes sure the set number is always ready.
You add participants after that on the group page itself, with Actions → Add members.
How the planning works
Every night DoToo checks each active group for enough activities ahead, and creates new ones from the template. The group members are signed up right away.
If you set a group activity to Public, it also appears in your public calendar and others can sign up when there is a spot.
Add and remove participants
If you add someone to the group, they are also signed up for that group's upcoming activities. If you remove someone, those sign-ups disappear again.
If the group is full, you can put someone on the group's waiting list.
The Actions menu on a group
| Action | What it does |
|---|---|
| Chat | Opens the group chat, or creates it |
| Add members | Puts participants in the group |
| Edit | Change schedule, template, and guides |
| Copy link | Copies the group page link to your clipboard |
| View log | Shows what the automatic planning has done |
| View timeline | Who changed what and when |
| Pause schedule / Re-activate schedule | Stops the planning or turns it back on |
Pausing
Pause schedule stops the planning temporarily: no new activities are added until you turn it back on. On the group page the message This group is paused appears, so your participants see it too. The activities already scheduled stay in place.
Who can see the group page
Only group members and your staff see the full group page with the participants and the upcoming activities. Anyone else gets the message Members only, with buttons to log in or register as a member.
Group chat
From the group you start a conversation with all group members with Actions → Chat. See Chat.
