Staff and permissions

Make someone staff or an admin and decide what they can do.

You can promote a member to staff or admin, and per staff member you decide exactly what they can manage. You do that on the member's profile.

Give someone a different role

  1. Go to Members and open the member.
  2. In the card with their details, click the three-dot menu.
  3. Choose Change role.
  4. Choose Admin, Staff, or Member and confirm.

The member gets an email confirming the new role.

Change role is only visible to admins, and not on an archived member.

Why a new staff member still cannot do anything

When you make someone staff, they first only get read access. The app also warns you about that. If you want them to create dotoos, for example, you then have to turn that on separately at Manage permissions.

Set permissions per staff member

  1. Open the member at Members.
  2. In the three-dot menu choose Manage permissions.
  3. Turn on the toggles this staff member needs.

You can grant these permissions:

PermissionWhat the staff member can do with it
Manage dotoosCreate, edit, and manage dotoos
Manage dotoo templatesCreate and edit templates
Manage membersView and manage members
Manage groupsCreate and manage groups
Manage membershipsManage membership variations and options
Manage ordersView and process orders
Manage productsCreate and edit products
Manage tokencardsManage tokencards

A change is active right away. If you turn on Manage dotoos, the Create button appears in the calendar for that staff member.

Manage permissions only appears for someone who is already staff. A member or an admin does not get that option: a member has no management permissions and an admin can already do everything.

Archive a member

In the same menu choose Archive. The member no longer sees your business on their dashboard and disappears from your lists. Their profile then shows a message with the Unarchive button to reverse it.

Reset a member's password

If a member cannot sign in, choose Reset password in the menu behind the member in the member list. See Manage members.
