Unpaid orders

The transaction deadline, automatic charging, and reminders.

If someone signs up with tokens or a membership, nothing is charged right away. The order stays on Awaiting dotoo until shortly before the activity.

The transaction deadline

The deadline decides how many hours before the start the payment is charged. Until that moment a participant can cancel for free.

You set the default at Settings → Orders & Tokens, as Awaiting dotoo orders deadline (hours). New dotoos and templates take over that value; per activity you can deviate from it with the Transaction deadline.

What happens at the deadline

Every quarter hour, DoToo goes through the orders whose deadline has passed and handles them like this:

  1. If the participant has canceled in the meantime, the order is canceled.
  2. If they have a valid membership that belongs to the ticket, the order is settled with that.
  3. Otherwise the tokens are charged from their balance.
  4. If that fails, for example because of too little balance, the order moves to Awaiting payment.

Reminders

Participants with an unpaid payment automatically get a reminder e-mail about it, once a day in the evening.

Handle unpaid payments yourself

Filter in Orders on the status and contact the participant, or mark the order as paid when they pay on site.

Want to keep people from signing up without balance? Then turn off Allow token credit signup at Settings → Dotoos & Calendar. Signing up is then only possible with enough tokens.
