DoToo
For organizations

Create and manage dotoos

Create an activity, set the signup window, and understand the statuses.

Create a dotoo

  1. Choose Dotoos in the menu. You land in your business calendar.
  2. Click Create at the top right. On a narrow screen that option is in the menu behind the three dots, as Create dotoo.
  3. If you want to use a template, choose it at the top of the form. The rest is then prefilled. See Templates.
  4. Fill in the details and save.
Don't see the Create button? Then you do not have permission to create dotoos. Ask an admin of your business for that permission.

The fields on the form

The form runs from top to bottom like this:

Cover image and Title. This is what attendees see first.

Start date and End date. If Allow multi-date dotoos is on in your settings, you can turn on This dotoo consists of multiple dates here. Attendees then sign up for all sessions at once.

Signup opening date and Signup closing date. These set the window in which people can sign up. If you leave them empty, signup stays open until the activity starts. Outside that window attendees see Signup window closed, with the dates.

Location. If you turn on I want to use an online location., you fill in the Link of the online location instead.

Ticket types. This sets the price, the capacity, and who can sign up. A dotoo needs at least one. See Tickets and capacity.

Show the number of people going. Turn this off if visitors do not need to see how many people already joined.

Description.

Category. Only visible if you have categories. Attendees can filter your calendar by it.

Guides. See Guides.

Display type. Public, members only, or hidden. See Share your public pages.

Transaction deadline. The number of hours before the start after which canceling is no longer free. This field only appears on a dotoo that uses tokens or memberships for payment.

Sent a reminder. The number of hours before the start when all attendees automatically get a reminder.

Signup settings

At the bottom of the form is the Signup settings heading with two fields:

  • Signup message — appears on the confirmation screen when someone signs up, for example what to bring
  • Signup terms — terms someone must accept before they can continue

Finish with Create, or with Save if you are editing an existing dotoo.

Make a quick change from the calendar

If you click a dotoo in the calendar, a window opens instead of the full page. In List view you do the same with the Quick view button.

In that window the details are on the left and, depending on your permissions, these buttons:

  • Edit information
  • Add members and Add guests
  • View dotoo — opens the full page in a new tab
  • View timeline
  • Archive

The attendee list is on the right, with the maximum number of attendees above it. You can change that number there right away. Use the circle next to the title to reload the data.

The Actions menu

When you open a dotoo, the Actions button sits with the details. Depending on your permissions, it includes:

ActionWhat it does
ChatOpens the chat with the attendees of this dotoo
Copy linkPuts the shareable link on your clipboard
EditOpens the form
Add membersSigns existing members up
Add guestsSigns someone up without an account
View templateJumps to the template this dotoo belongs to
View timelineShows who changed what and when
ArchiveRemoves the dotoo from your overviews

Statuses

A dotoo moves through these statuses. You do not have to keep track of this yourself: DoToo updates the status every few minutes.

StatusMeaning
DraftNot active yet
ScheduledReady, people can sign up
In progressThe activity is happening now
CompletedThe activity has finished
CanceledIt is not going ahead
ArchivedRemoved from the lists

Archiving

If you want to take a dotoo out of your overviews, choose Actions → Archive. Only an admin can do that.

Sign up and cancel are only possible while a dotoo has the Scheduled status. As soon as it is in progress or completed, the buttons disappear from the page.
