Tokencards and tokens

Sell tokencards, manage token balances, and set expiration dates.

With tokencards you sell a credit of tokens. Participants use those tokens to sign up for activities.

Create tokencards

Choose Tokencards in the menu and then Create tokencard. The form asks for:

  • Cover image and Name
  • Category — decides which activities the tokens apply to
  • Token count — how many tokens the card gives
  • Price and VAT rate
  • Expiration interval count and Expiration interval type — for example 6 and Month. If you leave them empty, the default from your settings applies

Token categories

With categories you keep different kinds of tokens apart, for example tokens for training and tokens for swimming lessons. Each member has their own balance per category, and a ticket only deducts from the matching category.

Selling

Members buy them themselves via Tokencards in their menu, or via the link play.dotoo.app/bedrijven/jouw-slug/strippenkaarten. For that, Stripe and Tokencard payments must be on at Settings → Payments.

Manage tokens on a member's profile

Open the member at Members. On the Tokens card you see three numbers: Balance, Purchased, and Spent, with the latest transactions below and the View all button for the full history.

With Add and Deduct you adjust the balance yourself, for example if someone paid in cash or if you want to correct something.

If you use multiple token categories, you switch between them with the menu at the top right of the card. Each category has its own balance.

Next to that menu is a circle to recalculate the balance. Handy if a balance does not seem to add up: DoToo then adds the transactions up again.

Use tokens at an activity

Set on the ticket of a dotoo how many tokens participation costs and from which category. See Tickets and capacity.

If Allow token credit signup is on at Settings → Dotoos & Calendar, members can also sign up with a balance that is too low. The tokens are then deducted on the transaction deadline, shortly before the activity. If that fails, the order stays open as unpaid.

Expiration dates

At Settings → Orders & Tokens you set the default expiration period: a number of weeks, months, or years. Per tokencard you can deviate from that. Expired tokens are automatically removed from the balances every night.

On that tab you also set the Default token VAT rate.

Tokens from a membership

Members can get tokens weekly as part of their membership. Turn on Membership token payout at Settings → Modules for that.

The payout happens automatically in the night from Sunday to Monday, and only once per week per member. Anyone who just let their membership expire gets nothing more paid out.
