Orders and invoices

Find orders, understand statuses, and view invoices.

Every payment or sign-up that has something attached produces an order: tickets, memberships, tokencards, products, and checkbook charges.

Where you find them

Go to Orders in the menu. As staff you see all orders of your business; as a participant you only see your own.

A member's orders are also grouped together on their profile.

Above the list you can search and filter on Status and on order type, such as Dotoo, Membership, Product, Tickets, Token purchase, Checkbook charge, or Checkbook topup.

Statuses

StatusMeaning
Awaiting paymentThe payment has not come in yet
Awaiting dotooThe charge happens shortly before the activity, with tokens or a membership
Payment processingStripe is working on it. That can take a few minutes, sometimes longer
Payment failedThe payment did not succeed and can be tried again
CompletedFinished and paid
CanceledVoided, for example because the attendance was withdrawn
ArchivedRemoved from the overviews

When you open an order, DoToo explains at the top in a message what the status means and what still needs to happen. For Awaiting dotoo it even says when the charge will happen.

Mark an order as paid

If someone pays on site, open the order and choose Mark as paid in the message at the top. You confirm that one more time. The participant then sees the order as completed.

On a failed payment, they can try again with the Checkout button on that same order.

The button only appears on an order that is Awaiting payment, and only if you are allowed to update orders.

Invoices

On a completed order there are two buttons at the bottom: View invoice opens the invoice in the app, Download invoice fetches it as a file. On the invoice page itself you can also print it. Participants can do this on their own orders too.

The business details on the invoice come from Settings → General.

Refunds

If a participant cancels in time, meaning before the transaction deadline, their tokens automatically return to their balance and the outstanding order is canceled. You do not have to do anything for that.

Refunding an online payment does not go through DoToo. You arrange that yourself with the participant, according to your own cancellation terms.

Digital downloads

If there are digital products in a completed order, the files are on the order. The buyer also sees them on the thank-you page right after checkout.

Unpaid orders

Orders that stay stuck have their own handling. See Unpaid orders.
